What Is a Maintenance Contract For?

A maintenance contract means catching a fault before it occurs rather than calling out a technician once it has. In a business, computers coming to a standstill is an event with a high hourly cost: staff wait, sales cannot be made, the accounts cannot be closed. The purpose of periodic maintenance is to keep these stoppages to a minimum and to ensure that, when a problem does arise, the question "who are we going to call?" never has to be asked.

The second benefit of working under a contract is that a history of the system is kept. Which device was purchased when, which disk is nearing the end of its life, when the licences expire, when the backup was last verified — once all of this is on record, budget planning is likewise based on data rather than guesswork.

What is typically included in the scope?

• Periodic on-site visit: During monthly or quarterly visits, hardware cleaning, thermal checks, drive health (SMART) scans and physical cabling inspections are carried out.
• Remote support: Most software-related problems are resolved the same day, without the need for an on-site visit.
• Backup verification: Seeing that a backup has been taken is not enough; whether the file can actually be restored is tested.
• Security updates: Operating system, security software and firewall firmware updates are applied in a planned manner.
• Inventory and licence tracking: The device list, warranty expiry dates and licence renewal dates are kept up to date.
• Priority response: Contract customers are not placed in the queue when they report a fault.
